Student Travel Policy, Procedure, and Forms

Texas A&M University-San Antonio supports student co-curricular activities on and off campus. Also, he recognizes that the safety of its students is of the utmost importance. The requirements outlined in the Student Travel Policy and Procedures apply to travel more than 25 miles from campus to an activity organized, sponsored, and funded by the University or by an organization adequately registered at the University.

Students traveling on behalf of A&M-San Antonio must obtain prior approval from Student Life if travel is in connection with a student organization or the appropriate academic department if the journey is connected with a class. The Office of International Affairs processes international travel for students and faculty who pursue travel outside the United States. 

This rule applies to car, truck, van, bus, or airplane travel. For additional information, please review the travel procedures.

The following documents are required for all travelers:

  1. Trip itinerary
  2. Travel passenger list 
  3. Emergency contact information for each participant 
  4. Assumption of Risk, Indemnification agreement form for each participant 
  5. Proof of insurance (international travel) 
  6. Copy of passport (international travel) 

Below are the links to the Student Travel Packet and the Individual Travel Forms. All forms are now housed in JagSync, where you will be prompted to log in to complete the forms. All student travel forms must be completed ten business days before travel for domestic trips and three weeks before international travel. Incomplete forms or missing forms will delay the approval of the trip plans.
