Committee Meeting Monthly Updates

January Update
During the January ITSC meeting, the committee received updates on the top five ITS projects which included: 1. Data Visualization Solution: Tableau, 2. Digital Inclusion, 3. Campus Website Redesign, 4. Laserfiche, Phase 2, and 5. DegreeWorks Upgrade. Additionally, the committee received updates on several other ITS projects as well as a comprehensive update on metrics captured by the Information Security Office including new TX-RAMP guidelines for cloud-based software and ITS’ response to the recently reported Log4j vulnerability.

December Update
During the meeting, the ITSC received updates on the top five ITS projects which included: 1. Data Visualization Solution: Tableau, 2. Digital Inclusion, 3. Campus Website Redesign, 4. DegreeWorks Upgrade, and 5. Laserfiche, Phase 2. Additionally, the committee received updates on several other ITS projects, your written summaries of recent meetings as well as a comprehensive update on metrics captured by the Information Security Office.

October Update
In October, the ITSC received updates on the top five ITS projects which included: 1. Data Visualization Solution: Tableau, 2. Digital Inclusion, 3. Campus Website Redesign, 4. DegreeWorks Upgrade, and 5. Laserfiche, Phase 2. Additionally, the committee received a written summary from the Cross-Functional Super Users Group of recent meetings as well as a comprehensive update on metrics captured by the Information Security Office.

September Update

In September, the ITSC received updates on the top three (3) ITS projects which included: 1. Data Warehousing Solution: Tableau, 2. Digital Inclusion, and 3. Campus Website Redesign. Additionally, the committee discussed the projected cost increase for new PC’s expected to be ~$800/device. After some discussion, the committee determined that DegreeWorks Upgrade and Laserfiche would move to the Top 5 immediately assuming the DegreeWorks Upgrade will be completed by the end of the calendar year. It is likely the new CRM would enter the Top 5 once DegreeWorks falls off or in January, whichever comes first.

August Update
In August, the ITSC received updates on the top five (5) ITS projects which included: 1. Data Warehousing Solution: Tableau, 2. Text Messaging Platform, 3. Digital Inclusion, and 4. Campus Website Redesign, and 5. Campus Housing. Additionally, the committee discussed ITS’ plans for a new exception-based approach to FY22 Standard Maintenance Windows and sun-setting shared drives.

July Update
In July, the ITSC received updates on the top five (5) ITS projects which included: 1. Data Warehousing Solution: Tableau, 2. Text Messaging Platform, 3. Digital Inclusion, and 4. Campus Website Redesign, and 5. Campus Housing. Additionally, the committee received a written summary from the Cross-Functional Super Users Group, a reminder that the Simulated Phishing and account purging programs are continuing and a recap of the status of determining system recovery tiers as well as the PC Refresh program.

June Update
In June, the ITSC received updates on the top five (5) ITS projects which included: 1. Data Warehousing Solution: Tableau, 2. Text Messaging Platform, 3. Digital Inclusion, and 4. Campus Website Redesign, and 5. Campus Housing. Additionally, the committee received a written summary from the Cross-Functional Super Users Group of the June meeting, a reminder that Skype for Business and Syncplicity were both end-of-life for the University and a recap of recent ransomware attacks impacting other universities.

March
In March, the ITSC received updates on the top six ITS projects which included: 1. Data Warehousing Solution: Tableau, 2. B9SSB Registration, 3. Student Location Management Housing Module, 4. Preferred Name/Preferred Pronoun, 5. Digital Inclusion, and 6. Campus Website Redesign. Additionally, the committee received a written summary from the Cross-Functional Super Users Group of the February and March meetings.

February
In February, the ITSC received updates on the top five ITS projects which included: 1. B9SSB Registration, 2. Student Housing Module, 3. Preferred Name/Preferred Pronoun, 4. Digital Inclusion, and 5. Campus Website Redesign. The committee also received updates related to the on-going Student Information Systems (SIS) audit as well as some new procedures ITS is evaluating including email retention and wireless network access. Several items that were discussed will be send to the Cross-Functional Super User Working Group for recommendations.

January
In January, the ITSC received updates this fiscal year’s Student Information System (SIS) audit, as well as a planned CBORD upgrade and rescheduled outage window. The committee also reviewed the top five ITS project prioritization which included: 1. B9SSB Registration and Block Scheduling, 2. Student Housing Module, 3. Preferred Name/Preferred Pronoun, 4. Digital Inclusion, and 5. Campus Website Redesign.

December Update

In December, the ITSC received updates on IT Disaster Recovery planning as well as a list of documented system and application owners for review and updating. The committee also reviewed implementation options for rolling out the Preferred Name and Preferred Pronoun fields in Banner and additional information related to a contactless temperature checking solution for the campus.

November Update
In November, the ITSC received updates on ITS plans for replacing end-of-life software, IP Communicator and Skype for Business and Zoom Best Practices on taking steps to prevent Zoom bombings. The committee also reviewed project progress for the Civitas, GradCAS, and Laserfiche software implementations as well as the Website Redesign project. Looking towards future solutions, the committee reviewed an initial recommendation on contactless temperature checking solutions for campus.

October Update
In October, the ITSC discussed the recent FBI bulletin related to student financial aid refund fraud and the countermeasures already in place at A&M-SA as well as student privacy concerns related to online proctoring software. Additionally, the committee reviewed the list of current ITS projects and prioritized Civitas, GradCAS, Laserfiche, and the Website Redesign projects as the top four projects. 

September Update
In September, the first meeting under the new committee membership was held. The ITSC received updates on this fiscal year’s Student Information System (SIS) audit, as well as ITS’ new ticketing system and plans to make Microsoft Teams, SharePoint and OneDrive available campuswide. During this meeting, the ITSC also reviewed the committee’s charter and discussed ITS resource needs. Finally, the committee approved the FY21 Maintenance Windows based on the recommendation from the Cross-Functional Super User Working Group (UG).
